Senior Supplier Administrator

  • Responsible for managing the procurement process from supplier registration, vetting and evaluation of prospective suppliers, managing the Rhodes University (RU) supplier database, conducting due diligence on information and documentation received from suppliers, to ensuring efficient administration, timeous & accurate conversion of purchase requisitions into purchase orders
  • Identification and correction of discrepancies/errors; proficient reconciliation of data; strict compliance with University policies and procedures
  • Develop, maintain and review BBBEE database for the advancement of historically disadvantaged suppliers and promotions of local suppliers and for the annual BEE verification process
  • Ensuring that purchases are dealt with correctly for asset and insurance purposes
  • Acting as liaison with service providers and ensuring that suppliers meet the mandatory and service delivery requirements according to the Procurement policy and service level agreements; Identifying areas where the supplier representation is inadequate and requires further capacity
  • Take a proactive approach to seek new suppliers in categories where there is an inefficient number of suppliers; Clarify needs, specifications and expectations from end-users for compilation RFQ, RFPs and to document them in SLA's
  • Responsible for creating and maintaining commodity and service categories on the supplier database
  • Ensure that supplier performance of contracted suppliers is graded on the Service Level Agreement (SLA) on a quarterly basis and that action is taken against poor performing suppliers
  • Create and update a contract register for all PURCO contracts utilized by RU and publish the list on the website
  • Collecting, analysing and reporting statistics for the Unit
  • Compiling training manuals for use by staff, managers and suppliers
  • Conducting and managing the facilitation of RU policies & procedures awareness sessions within the University
  • Responsible for managing purchase order administrators and ensuring that requisitions for goods and services are processed in an effective and efficient manner that is compliant with RU policies and procedures and procurement best practices in general
  • Monitoring and coordinating the activities and services of the Unit in terms of staff and resources, focused on Supplier database administration and conversion of purchase requisitions into purchase orders and contract management
  • Ensuring that appropriate targets/goals are set for staff to support the work of the section
  • Ensuring that appropriate structures and processes are in place for staff and are aligned to the overall goals/targets for the section to provide the necessary service for the section
  • Responsible for management of the resources of the section, staff, budgets, facilities, equipment etc
  • Assisting with the selection, induction and training of staff
  • Ensure that staff complete the work that has been assigned to them and that the quality of the work completed by staff meets the standards required
